Let Sadeh keep an eye on your inbox, calendar and business systems, and give you a short heads-up when something needs you.

What a Watchlist does

A Watchlist is something Sadeh checks for you in a connected tool, such as new email that needs a reply or a meeting that's coming up. When it finds something worth your attention, Sadeh writes you a short heads-up. When nothing needs you, it stays quiet.

Watchlists that Sadeh turns on for you are read-only. They read your tools and never update records, create reminders or send messages. A Watchlist created before September 22, 2026 may still set reminders for you or file and draft mail, and it follows the usual approval rules for anything else. To make a Gmail or Outlook Mail Watchlist read-only, click Review setup and save with Organize matching mail with this plan off.

If you want Sadeh to act on something, ask it. Sending messages and changing records in your business systems wait for your approval, unless you chose Always allow for that kind of action. Changes you can undo in your inbox, such as adding a label, marking mail as read, archiving or saving a draft, run as soon as you ask, and so do reminders and notes Sadeh keeps for itself. It starts on its own

When you connect a supported tool, Sadeh turns on its read-only Watchlists for you. Open Watchlist in the sidebar to see them. Each card shows a tool and how many of its Watchlists are on, for example Gmail 1/1.

When an admin connects a tool for the whole team, its Watchlists start only for that admin. Everyone else can switch them on from their own Watchlist page.

Tune your inbox Watchlist

Gmail and Outlook Mail have a guided setup.

  1. Open Watchlist and click Gmail or Outlook Mail.
  2. Click Review setup, or Build my Watchlist if it's off.
  3. Under Choose a starting point, pick Needs my attention, Customer follow-ups or Deadlines and payments.
  4. Under Focus on the right mail, pick labels you already use, or leave them all unselected to watch your inbox. Gmail also has a search box, which by default skips the Promotions and Social tabs and mail you sent. Filtering happens before any AI check.
  5. Under A tagging plan that fits your inbox, Sadeh suggests labels (categories in Outlook) for customer requests, replies and deadlines, reusing ones you already have. Leave Organize matching mail with this plan off if you only want heads-ups. The Watchlist then stays read-only. Turn it on if you want Sadeh to add these labels to matching mail and create any that are missing. Sadeh is told not to move, archive or delete mail. But with this option on, the Watchlist is no longer read-only: mailbox actions such as labeling, archiving and marking read run without asking, and so does moving mail between folders in Outlook. Sending and forwarding mail still wait for your approval, unless you chose Always allow for that kind of action.
  6. Under What should Sadeh watch for?, add what to look for or ignore, then click Save changes (Enable my Watchlist if it was off).

You can also say it to Sadeh, on the web or WhatsApp: "Don't alert me about password-reset emails."

Walk into meetings prepared

Google Calendar and Outlook Calendar have a Meeting prep Watchlist. About 30 minutes before a meeting with other people, Sadeh reads your connected tools and gives you two or three talking points, open questions and commitments. Change Minutes before meeting to anything from 5 to 120. Sadeh checks your calendar every 10 minutes, so the prep can arrive up to 10 minutes closer to the meeting than the time you set. On the Free plan, Watchlist checks that use AI are paced to about three a day, so once today's checks are used, prep can arrive late, even after the meeting has started. If Sadeh turned on Meeting prep for you when you connected your calendar, it sends up to three briefs a day. Prep for later meetings that day waits for your daily digest instead (see Where alerts arrive).

HubSpot Watchlists

HubSpot Watchlists look at your whole HubSpot account, even if you connected it just for yourself, so New contact can alert you about contacts your teammates own. HubSpot's Deal gone cold counts days since the deal was last changed, so any edit to the deal restarts the count.

To turn one on, open the tool's card on the Watchlist page and switch it on. Some have a setting, such as Days without activity or Stock threshold. For the ones that write you a summary, edit When this fires, what should Sadeh do? and click Save instructions.

Most Watchlists start from what's new after you turn them on, so connecting a tool doesn't flood you with old items.

Where alerts arrive

  • Activity. Every update Sadeh sends right away is saved under Updates for you first, so you can read it without WhatsApp. Updates held back by the daily limit wait for your digest instead (see below).
  • WhatsApp. If you've paired WhatsApp, an update also arrives there while you're chatting with Sadeh, meaning within 24 hours of your last message to Sadeh. Otherwise it waits in Activity. You can choose to get updates In the app only under Settings, in When should Sadeh reach you?
  • Daily limit. A Watchlist that Sadeh turned on for you when you connected a tool delivers at most three updates a day. Anything beyond that is held for your daily digest (18:00 by default) and doesn't appear in Activity until the digest goes out. The digest needs a paired WhatsApp number and Send me a daily digest turned on in Settings, and Sadeh may leave low-value items out of it. The digest reaches you the same way as other updates, following When should Sadeh reach you?, and a copy is always kept in Activity. If the digest is off, the extra updates aren't delivered. If you haven't paired WhatsApp, they wait until you do.

Checks and your allowance

Watchlists check on a schedule, from every few minutes to every few hours depending on the Watchlist, so an alert isn't instant. Checks that use AI count toward your monthly Watchlist allowance, which you can see under Usage & team. Check now runs up to three checks early; it doesn't add to your allowance.

Pause or turn one off

For Gmail or Outlook Mail, open the Watchlist and click Pause. To turn it back on, click Build my Watchlist, then Enable my Watchlist. For other Watchlists, use the on/off switch. Nothing is deleted, and your instructions are kept for when you turn it back on. In chat you can also mute one for a while: "Mute new-lead alerts until Monday."
