Automations
Give Sadeh a task and a schedule. It checks your connected tools on time and sends you a short report, or stays quiet when there's nothing to say.
What an automation does
An automation is a task in plain words plus a schedule, such as "Every weekday at 08:00, summarize yesterday's sales meetings and calls." Each time it runs, Sadeh does the task with your connected tools and sends you one short message. When there's nothing worth reporting, it sends nothing.
A run can also prepare actions, such as a follow-up email or a CRM update. Those follow the same approval rules as any other action. They wait for your approval unless an Always allow rule you set covers them. See Actions from a run.
Before you start
- Pair WhatsApp. You need a verified WhatsApp number to create an automation. Reports go to WhatsApp or to Activity, depending on when you last messaged Sadeh and your settings. See Where results go and Pair WhatsApp.
- Connect the tools it should use. Templates appear for the tools you've connected, such as HubSpot, Salesforce, Pipedrive, Gmail, Outlook or your calendar.
Create one from a template
- Open Automations in the sidebar.
- Under Start from a template, click Use on the one you want. The name, the task and a suggested time are filled in.
- Change the task in What should Sadeh check and report? if you like.
- Under When should it run?, pick a schedule. For example, click Custom, select Monday to Friday and set the time.
- Check the number under Where should results go?, then click Create automation.
The new automation appears at the top of the Active tab with its schedule and its next run.

Connected HubSpot a while ago?
The Yesterday's sales meetings and calls template needs HubSpot access that older connections don't have. If it can't read your meetings and calls, reconnect HubSpot under Integrations.
Write your own
Click + New automation at the top of the page. If you don't have any automations yet, click Create automation in the empty card instead. Give it a name and describe the task the way you'd brief a colleague. Good tasks say what to read, what to look for and what to send:
- "List today's customer meetings with time and address. For each customer add the open CRM deal and the last email in one line. Flag back-to-back meetings and missing addresses."
- "List customers with overdue invoices and their amounts. Keep it to 10 lines."
- "Find the open deal with the highest value that has had no activity in the last 14 days, and draft a short follow-up email to its main contact."
Sadeh can only use the tools you've connected, and it sees what your connected accounts can see.
Choose when it runs

Times use your workspace's time zone. If an admin changes it later, automations you already have keep the time zone they were created with. In the form, minutes can be :00, :15, :30 or :45.
Repeat every has a few extra options. Only during certain hours and Only on days limit when it runs. By default it stops on its own after a day (when it repeats more often than hourly) or after a week. Run with no end date keeps it going until you pause it, for up to five automations.
Meeting prep runs every 30 minutes
The Meeting prep template repeats every 30 minutes with no end date, and each run counts toward your allowance. For prep before meetings, the Meeting prep Watchlist on Google or Outlook Calendar is usually a better fit. See Smart alerts.
Or ask Sadeh
On WhatsApp or in the web chat, say what to check and when:
- "Every Monday at 8:30, send me the deals closing this week and flag any with no recent activity."
- "Tomorrow at 9, check whether Acme replied to the quote and tell me."
Sadeh replies with a review card that shows the name, the task and the schedule, and creates the automation when you approve it. If you say every weekday, check the days on the card before approving. Days appear as numbers, from 0 for Monday to 6 for Sunday. Monday to Friday is 0, 1, 2, 3 and 4. Sunday to Thursday is 6, 0, 1, 2 and 3. On the web card, click Show all if the days are not listed. In chat you can also ask Sadeh to list your automations, or to delete one after you approve. To pause or edit one, use the Automations page.
Where results go
- WhatsApp, if you've messaged Sadeh in the last 24 hours. Outside that window, WhatsApp limits what Sadeh can send first, so the report waits in Activity.
- Activity, under Updates for you, for everything else. Every report is saved there first, so nothing depends on your phone.
Under Settings, in When should Sadeh reach you?, you can choose Even when we're not chatting to get a short WhatsApp notice outside that window when an approved template is available, or In the app only. See Choose when Sadeh reaches you.
After each run, the card on the Automations page shows how it went: Ran successfully, Ran - nothing to report or Last run failed. If a run prepared review cards, the card shows no result until you answer them.
Actions from a run
When a run wants to send an email, update a record or make another change that needs approval, it prepares a review card instead of acting. You approve it on WhatsApp or on the Activity page, where it's grouped as from automation: and the automation's name. Nothing is sent without your approval unless you chose Always allow for that kind of action, including a rule you set in chat. As in chat, inbox tidying runs without a card: labels or categories, archiving or moving mail, marking it read or unread, and saving a draft. After you answer the cards, Sadeh continues the run with your decisions.
Reminders, follow-ups and notes Sadeh keeps for itself don't need approval. When a run books a later check, you see it in Activity under Sadeh will check back, where you can cancel it.
To choose how these cards reach you, go to Settings and find Action approvals: Real-time on WhatsApp, In the daily digest, or Only on the website. Real-time cards reach WhatsApp only within 24 hours of your last message to Sadeh. Otherwise they wait in Activity. If you trust an automation with one kind of action, choose Always allow ▾ on its card in Activity and pick when it comes from: that automation. See Approvals and control.
Pause, edit or delete
On the Automations page:
- Pause: switch the automation off. It moves to the Finished tab. Switch it on again to resume.
- Edit: click the pencil.
- Delete: click the bin and confirm.
- Run now: runs it right away. It counts as a run.
- Re-create: on a one-time automation that already ran, makes a copy you can schedule again.
Runs and your allowance
Each scheduled run and each Run now counts toward your monthly automations allowance, which you can see under Usage & team. A daily automation uses about 30 runs a month, and a weekday one about 22. If you reach the limit, runs pause until next month and the card shows Last run failed.
